The position
A reminder is a plan. Evidence is a record.
You cannot build a record backwards. Every other product in this market helps you run the tenancy and treats the record as a by-product — PropFlow is built the other way round.
The whole thing, in one paragraph
The record is the product. The operations are how it writes itself, without anyone doing extra work.
The tenant messages on WhatsApp and it is triaged, threaded and timestamped. The job is dispatched and the visit and the photos are logged. The certificate is uploaded, the dates are read off it, and the reminder chain is stamped. You do not keep the record. It keeps itself. That is what a calendar structurally cannot do, and it is why the record exists on the day you need it.
The argument in three parts
Each one stands on its own.
The clock starts without you.
An 11pm message begins a statutory deadline whether or not anyone reads it. This is the page that answers “I could just use a calendar reminder” — and why that answer stops working the moment somebody asks you to prove something.
Read itOne system, not five.
Operations, triage, dispatch, inspections, compliance, rent, tax, signatures, storage — and proving any of it happened. Most operators run five or more subscriptions for this, none of which talk to each other.
Read itWhat changed in 2025.
Section 21 is gone. Every possession is now fault-based and contested, which means it must be proved. The paperwork that used to be housekeeping is now the case itself — and every rival was built for the old regime.
Read itIn this order
Why we tell it this way round.
A fear-first pitch to someone who has never had a dispute reads as scaremongering, and bounces. So the evidence argument comes third, not first.
1 · The job
Start with the work you already know you have
Nobody wakes up wanting to buy evidence. You want the certificates chased, the repairs handled, the rent reconciled and the tenants answered. PropFlow does that first, and does it on equal or better terms than anything else in this market.
2 · The price
Then the number, at your portfolio size
You are already paying for this — across several subscriptions that don't talk to each other. The honest version of “nobody wants to spend money” is that the spend already exists, and this is less of it.
3 · The asymmetry
Only then, the thing nobody else does
Unlike everything else you looked at, this one produces the record. Not “we have compliance features” — one click, a dated, hash-verified bundle in the shape a court expects, built entirely from work you were doing anyway.
4 · The maths
The bet is lopsided
A failed possession claim costs six to twelve months of lost rent plus costs. For a supported-housing provider a retrospective housing-benefit clawback on a thirty-bed scheme runs to six figures — and turns entirely on whether the support notes were written at the time.
The record exists on the day you need it, or it doesn't exist at all.
