About PropFlow

Who's behind PropFlow?
PropFlow is built by a small Birmingham-based team. Saeed is the founder and engineering lead — he runs Brainwave Properties (sales and investment) and his own residential portfolio, which is the platform's testbed. Two collaborators work alongside him. Brainwave Housing, an emerging supported-housing arm, is preparing as an Approved Managing Agent.
Do you have other customers?
PropFlow runs in production today on Saeed's own portfolio. We're now opening it to a small group of founding customers and design partners. We'd rather have ten operators using it deeply and shaping it than a thousand using it shallowly.
Is PropFlow VC-funded? Will you pivot away?
PropFlow is currently founder-funded with Brainwave Properties' cash flow. Outside funding will only ever be raised on terms that don't compromise the operator-first roadmap. We're building this to last.
Is this legal advice?
No. PropFlow is software built by a landlord, not by solicitors — anything on this site, in our content, or from us in conversation is our best read of the relevant statutes (Renters' Rights Act 2025, the Housing Acts, the Tenant Fees Act, the Protection from Eviction Act) as operators, not legal advice. The platform produces evidence packs, deadline reminders and audit trails to help you act on your solicitor's advice, not in place of it. For your specific portfolio and any live situation — possession claims, deposit disputes, fines or notices — talk to a property solicitor before acting.

Pricing & billing

What's the catch on the founding pricing?
No catch. The launch-price lock is deliberate — you take a small risk on a young product, you take an annual commitment, and we hold your price for the term of the programme. Charter Members lock in their launch price for 3 years; Founding Customers for 2 years; Early Adopters for year 1. All on annual plans. After the lock period the standard plan price applies — no surprise increase mid-term, no surprise renewal trick.
Will my plan grow with my portfolio?
Yes — you can upgrade from any tier to the next in 30 seconds. The change applies immediately and we prorate the difference on your next bill. Downgrades take effect at the end of your current billing period so you don't lose features mid-month.
What counts as a tenancy?
An active tenancy = a current rental agreement with at least one named tenant. Inactive (expired) tenancies don't count against your cap. The system warns you before you exceed your cap so you can upgrade before any service interruption.
Is there a contract?
No contract. Monthly billing renews monthly; annual billing renews annually. Cancel any time from your billing settings and we stop charging at the end of the current period.
Can I switch from monthly to annual (or back)?
Yes. Switching to annual is immediate — we charge the year up front and apply your remaining monthly balance as credit. Switching from annual to monthly takes effect at the end of your annual period.
Are these prices including VAT?
Prices shown are flat. PropFlow is a UK-registered company; once we cross the VAT threshold (or register voluntarily) we apply VAT to UK invoices at the prevailing rate. Until then no VAT is charged. We do not add hidden fees.

Data & security

Is my data UK-hosted?
Yes. All customer data lives in our UK / EEA region on Supabase. Encrypted in transit (TLS) and at rest (AES-256 managed). See our security posture page for the full detail.
How is my tenant data kept separate from other landlords?
Row-level security at the database level — each landlord's data is technically isolated, not just policy-isolated. A landlord cannot see another landlord's tenant data even if there were a bug in the application layer. Hosted in the EEA region. GDPR / UK GDPR compliant. More detail on the security page.
What happens if PropFlow shuts down?
Your data is yours. We commit to a full export in standard formats on 30 days' notice. The platform retention schedule mirrors statutory requirements — 7 years for tenancy records, 25 years for safeguarding-relevant supported-housing notes.
