PropFlow is property management software built for English landlords, letting agencies, and housing associations. We exist because the operating burden of compliance, communications, and evidence isn't going down — and the tools for it haven't caught up.

The story

Why we built this.

The Renters' Rights Act 2025 stacks 14 new obligations on every tenancy in England. The Decent Homes update extends inspection-grade duties to the PRS. Awaab's Law puts statutory clocks on every reported hazard. Section 21 is gone; every possession claim now runs through Schedule 2 with paperwork the court will actually accept.

The operators who shoulder this aren't the cavalier ones. They're the busy ones — a landlord with five properties and a day job, a letting agent juggling six PMs across three branches, a housing association running across managing-agent networks where every tool is different. The fines and the disputes don't care that you were on annual leave.

Saeed, Founder of PropFlow

We're a small team based in Birmingham, building PropFlow against the operational pain of running real property — not against a market we read about in a deck.

Saeed leads the engineering and is the founder. He runs Brainwave Properties — helping homeowners sell and helping investors get better returns on their portfolios — and operates his own residential portfolio of HMOs and mixed PRS. That portfolio is the platform's testbed. Every feature shipped to other operators has been used on Saeed's own properties first.

Two collaborators work alongside him on the operational and product side.

We're deliberately small. PropFlow is built to last, on terms that don't compromise the operator-first roadmap.

Principles

How we choose what to build.

England-first, not bolted on.

Compliance, notices, statutory clocks, and tenancy templates all assume English law. We don't pretend to be UK-wide — we'd rather be properly right for one regime than half-right for four.

Evidence-grade by default.

Every action attributes to a user with a trace ID. Every change is timestamped. The evidence pack is built throughout, not assembled the week before a hearing.

No chatbot theatre.

AI is for triage and translation — not for hiding behind. When a tenant needs a human, they get one. When a PM needs an answer, the system shows them where to look.

No over-claim.

If a feature isn't built, we don't put it on the marketing page. If a certification isn't started, we don't say it's on the roadmap. The trust we want comes from delivering what we said we would.
