The user-count gotcha for managing agents
This catches a lot of new managing-agent firms by surprise.
User count = you + every property manager + every landlord with a PropFlow account in your org. If you have 20 landlords on your book, you've already used 21+ user slots. Business (15-user cap) won't fit. You need Enterprise.
Rule of thumb:
- Sole-trader managing agent, 1–4 landlords → Professional (5 users).
- Small firm, 5–14 landlords → Business (15 users).
- Anything larger, or doing supported housing → Enterprise.
Power Team caps
Power Team is your trusted tradesperson list — shared across the whole firm. Caps per plan:

"Per period" = billing period (monthly or annual). On hitting a cap the UI prompts you to upgrade — no overage billing.
Welfare workspace = Enterprise
The per-tenant welfare workspace (Support Cases) is gated to Enterprise. Lower tiers don't see the left-nav entry; visiting /support-cases shows an upgrade prompt.
If you're doing supported-housing work, Enterprise is the right tier. The combination of unlimited users + welfare workspace + unlimited Power Team caps + 750 tenancies usually fits.
14-day trial on paid plans
Every paid plan starts with a 14-day free trial. Card captured at signup via Stripe Checkout; not charged until day 15. Cancel any time during the trial from the Customer Portal and your card is never charged.
VAT
PropFlow Ltd is below the £90k VAT threshold; flat prices, no "+ VAT" on invoices. The footer disclaimer reads: "PropFlow Ltd is not currently registered for VAT. No VAT has been charged on this invoice and no VAT is reclaimable."
Optional VAT number capture at signup if your firm is VAT-registered.
Managing your billing
From Settings → Billing, you can:
- See your current plan, next billing date, and renewal price.
- Change plan (Subscribe / Change plan button → Stripe Checkout).
- Open Billing Portal — Stripe-hosted, for card changes, plan changes, invoices, tax docs, cancellation.
Plan changes are pro-rated mid-cycle. Cancellation is end-of-period (you keep your features until the renewal date, then drop to Starter — data retained, no deletes).

- Do landlords I invite count against my user limit?
- Yes. Every landlord with a full PropFlow account in your org counts as a user. This is the most common reason managing-agent firms move to Enterprise (unlimited users). If you have 20 landlords on your book, you already need at least Business (15 users) — and Business is tight.
- Why is welfare workspace tied to Enterprise?
- Welfare workspace involves regulated personal data, audit-grade retention, multi-org collaboration, and the housing-officer digest infrastructure. Building it cost more than the lower tiers can sustainably support. Enterprise is the tier where it makes commercial sense.
- Can I trial Enterprise without committing?
- Yes. Paid plans (Landlord through Enterprise) start with a 14-day free trial. Your card is captured but not charged until day 15. Cancel any time during the trial from the Customer Portal.
