Who can invite PMs
Only org-admins can invite property managers. If you're a PM yourself, the "Property Manager" button is hidden in the Add member dialog — you'll only see the "Landlord" button.
Where it lives
- Sign in as org-admin and click Team in the left nav.
- Click + Add member.
- The Add team member dialog opens.
The invite form
- Full name — required. Up to 200 characters.
- Email — required. Validated as unique across all PropFlow user types.
- Role — required. Pick Property Manager.
Click Send invite.
No phone field on the invite — the PM provides their phone during their own onboarding flow.
What happens when the PM accepts
- They click the magic-link in their email.
- Authenticated session established at
/auth/callback. - Redirected to
/onboarding. - Set a password, pick their preferred channel (Email / WhatsApp / SMS).
- Complete setup → land at
/dashboard.
What the PM can do
- Invite landlords — same form as you, but only the Landlord role button is visible.
- Add properties on behalf of their landlords — same 4-step wizard, with the Owner picker scoped to landlords they invited.
- Run compliance — upload certificates, set deadlines, etc.
- Dispatch maintenance — receive job alerts, assign tradespeople from the firm's Power Team.
- Message tenants — via WhatsApp / SMS / email through PropFlow.
- See their own audit log — every action they took.
What the PM cannot do
- See other PMs' landlords or properties — RLS scopes by
added_byat the database level. Not just UI hiding. - Invite other PMs — org-admin only.
- Reassign landlords between PMs — org-admin only.
- See billing / change the plan — org-admin only.
- Access platform-level admin pages — System Configuration, Security, AI Provider, etc. — org-admin only.
The hierarchy in your firm
you (org-admin) ↓ invite property managers ↓ invite landlords
Both you and your PMs can invite landlords. The difference is scope: yours go directly under you; theirs go under them. You can reassign landlords between PMs from the Team hierarchy view at any time.
Common gotchas
- "Email already in use." — the PM has a PropFlow account already (likely as a landlord on another org). They'll need a fresh email, or you can contact support.
- PM can't see the landlord I invited. Expected — RLS only shows each PM the landlords they themselves added. To make a landlord visible to a different PM, use the Reassign PM action.
- PM tries to add a property but the Owner picker is empty. They have no landlords assigned yet. Invite landlords first, or reassign existing ones to this PM.

FAQ
- Do I need a property manager if I'm a sole-trader managing agent?
- No. The PM role is optional. If you're the only person in your firm, every landlord reports directly to you as org-admin. Skip this article and go straight to inviting landlords.
- What can a property manager do that a landlord can't?
- A PM can invite landlords, add properties on their behalf, run compliance, dispatch maintenance jobs, and message tenants — essentially all the operational work the org-admin does. The PM differs from the org-admin in that they only see the subset of the book they themselves invited. The org-admin sees everything.
- Can a property manager invite another property manager?
- No. PM invitations are org-admin only. A PM can invite landlords (and only landlords). This is deliberate — the firm's hierarchy stays flat under the org-admin.
- What if a PM leaves my firm? What happens to their landlords?
- The org-admin can reassign their landlords to a different PM or move them under the org-admin directly. The departing PM's auth can then be revoked. The landlord records stay intact — only the added_by relationship changes.
