Understand your dashboard

Where it lives
The dashboard is at /dashboard. It's the default landing page after login and the page the PropFlow logo always links to.
What you see at the top
Overdue alert banner
A red banner appears at the top of the page only when you have one or more overdue compliance items. It tells you how many are overdue and links to /compliance. When you have nothing overdue, this banner is hidden — keep an eye on it.
Stat cards (5 across)
A row of summary cards, each with a count and a "View all →" link to the relevant section:
- Properties — total properties in your portfolio. Links to
/properties. - Open Jobs — maintenance jobs that aren't yet closed. Links to
/jobs. - Due Soon — compliance items due within the next 30 days. Links to
/compliance. - Overdue — compliance items past their deadline. Shown red. Links to
/compliance. - Occupancy — occupied units / total units, with a percentage and a vacant count. Helpful for HMOs in particular.
Compliance Overview
A proportional bar showing the breakdown of every compliance item across your portfolio in four colours:
- Compliant (green) — a valid certificate is on file and not within its renewal window.
- Not started (grey) — the obligation exists but no certificate has been uploaded yet.
- Due soon (amber) — within 30 days of deadline.
- Overdue (red) — past deadline.
The bar is only visible once you have at least one compliance item. Add a property and PropFlow will seed the right ones automatically (Gas, EICR, EPC, etc.).
Lower half — two columns
Upcoming Deadlines (left)
Lists every compliance item due in the next 7 days, sorted by deadline. Each row shows the property, the obligation (e.g. Gas Safety), and a coloured badge indicating how close the deadline is. Empty state: "No deadlines in the next 7 days."
Recent Activity (right)
The last 5 events from your audit log — property added, certificate uploaded, tenancy created, message sent, and so on. Each row shows a short description and a relative timestamp. Empty state: "No recent activity."
The left navigation
The left sidebar gives direct access to every section. For self-managing landlords (role: Organisation Admin), the typical menu is:
- Dashboard — this page.
- Team — invite property managers or partners.
- Properties — your portfolio. Add, edit, archive.
- Applications — incoming tenant applications.
- Viewings — viewing bookings.
- Jobs — maintenance jobs and dispatch.
- Messages — conversations with tenants, applicants, and tradespeople.
- Power Team — your trusted tradesperson contacts.
- Prospective Tenants — leads who applied or registered interest.
- Marketplace — find tradespeople outside your Power Team.
- Support Cases — only visible if you're using the welfare workspace (housing & support).
- Metrics — usage analytics.
- My Legal Templates — your custom letter templates.
- Billing — your plan, invoices, and payment method.
- Platform (section header) — admin-only configuration: System Settings, Security, AI Provider, Message Templates, Legal Templates, Compliance Settings, Document Packs.
- Settings (bottom) — profile, notifications, preferred channel.
How a brand-new account looks
Right after onboarding, before you've added anything, the dashboard is mostly empty:
- Every stat card shows 0.
- The Compliance Overview bar is hidden.
- "Upcoming Deadlines" shows "No deadlines in the next 7 days."
- "Recent Activity" shows "No recent activity."
This is intentional — the dashboard is a status display, not a setup wizard. Add your first property to start seeing real numbers.

FAQ
- Why is the dashboard mostly empty?
- Because you haven't added anything yet. Add your first property and the Properties stat, compliance breakdown, and deadlines section will start filling in. The dashboard isn't a 'setup' screen — it's an at-a-glance overview that only becomes useful once you have data.
- How real-time is the dashboard?
- Live. Stat cards and deadlines update in real time via Supabase Realtime as jobs, compliance items, and audit events change. You don't need to refresh after taking an action — the change appears on the dashboard within a second or two.
- What does 'Occupancy' count?
- Occupied units divided by total units across your portfolio. For HMOs, each lettable room counts as a unit. Vacant rooms drop your occupancy percentage.
- What goes into 'Recent Activity'?
- The last 5 entries from your audit log — things like 'Property added', 'Certificate uploaded', 'Tenancy started', 'Message sent'. The audit log captures every meaningful change so you can answer 'who did what, when' for compliance, court, or simple recall.
